Share the running order early
Give the videographer the schedule, venue access, contact person, speaker list and any moments that cannot be repeated. This makes it easier to be in the right place before the moment happens.

A recap for attendees, a sponsor report, a social media edit and a sales asset all need different footage. The final use should guide the filming plan.
Think about sound
If speeches, panels or interviews matter, sound needs to be planned with the venue. Access to the audio desk, quiet interview space or suitable microphones can change the final quality.
Capture the room, not only the stage
